Phantom Hosting Cancellation Policy

Last Updated: July 8th, 2026

This Cancellation Policy explains how customers may cancel services provided by Phantom Hosting by Phantom Productions LLC.

By purchasing, renewing, or using any Phantom Hosting service, you agree to this Cancellation Policy, our Terms of Service, Refund Policy, Acceptable Use Policy, Privacy Policy, and any other posted Phantom Hosting policies.

1. General Cancellation Rule

Customers are responsible for canceling services they no longer want.

Canceling a service stops future billing for that service, but it does not automatically create a refund. Refund eligibility is handled under the Phantom Hosting Refund Policy.

2. How to Cancel a Service

Customers must cancel services through the Phantom Hosting account page/client area.

To cancel a service, customers must:

  1. Log in to the Phantom Hosting client area.

  2. Go to the active product or service they want to cancel.

  3. Submit a cancellation request under that specific service.

  4. Choose the cancellation type, if available.

Cancellation requests submitted through Discord, email, live chat, social media, or verbal conversation may not be accepted unless Phantom Hosting confirms the cancellation in writing.

This protects both the customer and Phantom Hosting by making sure the cancellation is connected to the correct account and service.

3. Cancellation Options

Customers may be able to choose one of the following cancellation options:

  • Immediate cancellation

  • Cancellation at the end of the billing period

4. Immediate Cancellation

If a customer chooses immediate cancellation, the service may be canceled right away.

Immediate cancellation may result in:

  • Loss of access to the service

  • Service shutdown

  • Deletion of files

  • Deletion of databases

  • Deletion of server data

  • Deletion of backups

  • Loss of related configurations

  • Loss of remaining paid time on the billing cycle

Customers should download or save any needed data before submitting an immediate cancellation request.

Immediate cancellation does not automatically qualify for a refund.

5. End-of-Billing-Period Cancellation

If a customer chooses cancellation at the end of the billing period, the service will usually remain active until the end of the paid billing term.

At the end of the billing period, the service may be canceled, terminated, and deleted.

Customers are responsible for saving any needed data before the end of the billing period.

End-of-billing-period cancellation does not automatically qualify for a refund.

6. Cancellations and Refunds

Cancellation and refund requests are separate.

Submitting a cancellation request does not mean a refund will be issued.

Refunds are only available according to the Phantom Hosting Refund Policy.

In general:

  • Eligible game server hosting services may qualify for a refund within 7 days after purchase.

  • VPS hosting is non-refundable.

  • Dedicated servers are non-refundable.

  • Domains are non-refundable.

  • Setup fees are non-refundable.

  • Managed support labor is non-refundable.

  • Custom work is non-refundable.

  • Add-ons already delivered are non-refundable.

  • Services suspended or terminated for policy violations are non-refundable.

7. Renewal Responsibility

Customers are responsible for canceling services before the next renewal payment is made if they do not want the service to renew.

Renewal payments are generally non-refundable.

Phantom Hosting is not responsible for refunding a renewal because a customer forgot to cancel.

8. Existing Invoices

Canceling a service does not automatically remove unpaid invoices, overdue invoices, late fees, or balances already owed.

If an invoice was created before the cancellation request, Phantom Hosting may still require payment depending on the situation.

If a customer believes an invoice should be canceled, they must contact Phantom Hosting support for review.

9. Overdue Services

If a service is overdue, Phantom Hosting’s billing rules may still apply.

Overdue billing enforcement may include:

  • Late fee after 1 day overdue

  • Additional late fee after 2 days overdue

  • Suspension after 3 days overdue

  • Termination after 4 days overdue

A cancellation request does not automatically remove late fees or prevent suspension/termination if the service is already overdue.

10. Data After Cancellation

Customer data may remain available until the related invoice due date or until the service is canceled, suspended, or terminated, depending on the situation.

Once a service is canceled or terminated, all related data may be permanently deleted, including:

  • Server files

  • Website files

  • Databases

  • Backups

  • Game server worlds

  • Configurations

  • Emails

  • Logs

  • Control panel data

  • Service settings

Deleted data may not be recoverable.

Customers are responsible for saving their own backups before canceling.

11. Backups Before Cancellation

Customers should create and download backups before submitting a cancellation request.

Phantom Hosting backups are best-effort and not guaranteed.

Free backups may be limited to 25GB where available. Paid backup services may have their own limits and terms.

Phantom Hosting is not responsible for data loss after cancellation, immediate cancellation, suspension, or termination.

12. Domains

Domain registrations, renewals, and transfers cannot usually be canceled or refunded once processed.

Canceling a domain-related service may stop future renewal billing, but it does not reverse a completed registration, renewal, or transfer.

Customers are responsible for managing domain renewal settings and canceling future renewals before the renewal date.

13. VPS and Dedicated Server Cancellation

VPS hosting and dedicated servers are non-refundable.

Customers should back up all needed data before canceling VPS or dedicated server services.

Once canceled or terminated, VPS and dedicated server data may be permanently deleted.

Phantom Hosting is not responsible for reinstalling, recovering, or restoring canceled VPS or dedicated server data unless a valid backup exists and Phantom Hosting agrees to assist.

14. Add-Ons and Managed Services

Some add-ons may cancel with the main service. Other add-ons may need to be canceled separately.

Customers are responsible for reviewing active services and add-ons in their account.

Managed support, setup services, custom work, migrations, and labor-based services are non-refundable once work has started or been delivered.

15. Abuse, Fraud, or Policy Violations

Phantom Hosting may cancel, suspend, or terminate services without customer request if the service or account is involved in:

  • Abuse

  • Fraud

  • Chargebacks

  • Spam

  • Malware

  • Phishing

  • DDoS activity

  • Adult content

  • Illegal activity

  • Copyright infringement

  • Fake player counts, spoofing, or botting

  • Crypto mining violations

  • Terms of Service violations

  • Acceptable Use Policy violations

Services canceled, suspended, or terminated for these reasons are not eligible for refunds.

16. Chargebacks and Payment Disputes

Opening a chargeback, payment dispute, or payment reversal does not count as a valid cancellation request.

Chargebacks may result in:

  • Immediate account suspension

  • Service suspension

  • Service termination

  • Loss of refund eligibility

  • Ban from future service

  • Chargeback fees added to the customer account

Customers should contact Phantom Hosting support before opening a payment dispute.

17. Account Closure

Customers may request account closure by contacting Phantom Hosting support.

Account closure may not be available until all active services, unpaid invoices, disputes, abuse reports, and required records are resolved.

Even after account closure, Phantom Hosting may retain certain records as needed for business, legal, fraud prevention, abuse, tax, accounting, chargeback, or compliance reasons.

18. Cancellation Mistakes

Customers are responsible for making sure they cancel the correct service.

Phantom Hosting is not responsible for data loss, downtime, or service removal caused by a customer submitting a cancellation request for the wrong service or selecting immediate cancellation by mistake.

If a cancellation request was submitted by mistake, the customer should contact Phantom Hosting support immediately. Recovery is not guaranteed.

19. Refusal or Removal of Service

Phantom Hosting reserves the right to refuse, suspend, cancel, or terminate service when necessary to protect Phantom Hosting, our customers, our providers, our infrastructure, or the public.

This may include cases involving abuse, fraud, legal risk, non-payment, provider requirements, or policy violations.

20. Policy Updates

Phantom Hosting may update this Cancellation Policy at any time.

Continued use of Phantom Hosting services after changes are posted means the customer accepts the updated Cancellation Policy.

Customers are encouraged to review this policy regularly.
