Phantom Hosting Refund Policy

This Refund Policy explains when refunds may or may not be issued for services provided by Phantom Hosting by Phantom Productions LLC.
By purchasing, renewing, or using any Phantom Hosting service, you agree to this Refund Policy, our Terms of Service, our Acceptable Use Policy, our Privacy Policy, and any other posted Phantom Hosting policies.
1. General Refund Rule
Phantom Hosting only provides refunds for eligible game server hosting services within 7 days after the original purchase date.
Most other services are non-refundable once purchased, provisioned, activated, registered, renewed, transferred, or delivered.
Customers are responsible for reviewing service details, pricing, billing cycles, and plan features before placing an order.
2. Eligible Refunds
Refunds may be available only for eligible game server hosting services if the refund request is submitted within 7 days after purchase.
To qualify for a refund, the service must not be involved in:
Abuse
Fraud
Chargebacks
Terms of Service violations
Acceptable Use Policy violations
Illegal activity
Excessive resource abuse
Spam
Malware
Phishing
DDoS activity
Fake player counts, spoofing, or botting
Any other prohibited use
Phantom Hosting reserves the right to deny any refund request if the service or account violates our policies.
3. Non-Refundable Services
The following services are non-refundable:
VPS hosting
Dedicated servers
Domain registrations
Domain renewals
Domain transfers
Website hosting, unless otherwise approved by Phantom Hosting
cPanel hosting, unless otherwise approved by Phantom Hosting
Email hosting, unless otherwise approved by Phantom Hosting
Discord bot hosting, unless otherwise approved by Phantom Hosting
Setup fees
Installation fees
Migration fees
Managed support labor
Custom work
Custom development
Add-ons already delivered
Backup add-ons already delivered or activated
IP address add-ons
Control panel licenses
Software licenses
Services purchased with account credit, unless otherwise approved
Services suspended or terminated for policy violations
Once these services are purchased, activated, provisioned, registered, renewed, transferred, or delivered, they are not eligible for a refund.
4. VPS and Dedicated Server Refunds
VPS hosting and dedicated servers are non-refundable.
Once a VPS or dedicated server order is placed, provisioned, activated, or delivered, the service cannot be refunded.
This is because VPS and dedicated server services may require reserved resources, provider costs, licensing, IP allocation, hardware allocation, setup time, and infrastructure commitment.
Customers are responsible for making sure they choose the correct plan, billing cycle, operating system, location, and add-ons before purchasing.
5. Domain Refunds
Domain registrations, renewals, and transfers are non-refundable.
Once a domain is registered, renewed, or transferred, the order cannot be reversed or refunded by Phantom Hosting.
Customers are responsible for making sure the domain name is spelled correctly before completing the order.
Phantom Hosting is not responsible for customer mistakes in domain orders.
6. Add-Ons, Setup Fees, and Custom Work
Add-ons, setup services, installation services, managed support, migrations, custom work, and custom development are non-refundable once work has started or the service has been delivered.
This includes but is not limited to:
Server setup
VPS setup
Dedicated server setup
Email server setup
Control panel setup
Game server setup
Website migration
Server migration
Managed support labor
Troubleshooting labor
Custom configurations
Custom Discord bot work
Custom development
Labor-based services are non-refundable because time and work cannot be returned once performed.
7. Refund Method
If a refund is approved, the customer may choose either:
Refund to the original payment method
Refund as Phantom Hosting account credit
Refunds to the original payment method depend on payment processor availability and rules.
If the original payment method cannot be refunded, Phantom Hosting may issue account credit instead.
Payment processor fees may not always be refundable.
8. Account Credit
Account credit may be used toward future eligible Phantom Hosting invoices or services.
Account credit has no cash value and cannot be withdrawn, transferred, or converted into cash unless Phantom Hosting approves it.
Account credit may not be refunded back to a payment method unless Phantom Hosting decides otherwise.
9. Refund Request Process
Customers must request refunds through official Phantom Hosting support channels.
Refund requests should include:
Customer name
Service name
Invoice number
Reason for refund request
Preferred refund method: original payment method or account credit
Submitting a refund request does not guarantee approval.
Phantom Hosting will review refund requests based on this policy, account history, service status, payment status, abuse history, and any related support records.
10. Cancellations and Refunds
Canceling a service does not automatically create a refund.
Customers must submit cancellation requests through the Phantom Hosting account page/client area under the specific product or service.
Customers may choose either:
Immediate cancellation
Cancellation at the end of the billing period
If a service is canceled immediately, the customer may lose access to the service and its data right away.
If a service is canceled at the end of the billing period, the service will remain active until the end of the paid billing period unless suspended or terminated for another reason.
Refund eligibility is still determined by this Refund Policy.
11. Renewals
Renewal payments are generally non-refundable.
Customers are responsible for canceling services before the renewal invoice is paid if they do not want the service to continue.
Phantom Hosting is not responsible for refunding renewal payments because a customer forgot to cancel.
Refunds for renewal payments may be reviewed case-by-case, but are not guaranteed.
12. Late Fees
Late fees are non-refundable.
If an invoice becomes overdue, late fees may be added according to Phantom Hosting’s billing rules.
Paying an overdue invoice means the customer accepts the related late fees.
13. Suspended or Terminated Services
Services suspended or terminated for non-payment, abuse, fraud, chargebacks, Terms of Service violations, Acceptable Use Policy violations, or illegal activity are not eligible for refunds.
Phantom Hosting may deny refunds for any account or service involved in:
Abuse reports
Spam
Malware
Phishing
DDoS activity
Network attacks
Adult content
Copyright infringement
Crypto mining violations
Fake player counts, spoofing, or botting
Fraudulent orders
Chargebacks
Threats or harassment toward staff
Any other policy violation
14. Chargebacks and Payment Disputes
Customers should contact Phantom Hosting support before opening a chargeback, payment dispute, or payment reversal.
Opening a chargeback or payment dispute without first attempting to resolve the issue with Phantom Hosting may result in:
Immediate account suspension
Service suspension
Service termination
Loss of refund eligibility
Ban from future service
Chargeback fees added to the customer account
If a chargeback is opened, Phantom Hosting may provide account records, invoices, service logs, support history, IP logs, order details, and policy records to the payment processor as part of the dispute response.
15. Service Credits
Phantom Hosting may offer service credits in certain situations, depending on the issue.
Service credits are reviewed case-by-case and are not automatic.
Service credits may be considered for issues such as verified downtime, service problems caused by Phantom Hosting, or other situations where Phantom Hosting decides a credit is appropriate.
Service credits are not guaranteed and do not have cash value.
16. Downtime and Outages
Refunds are not automatically issued for downtime, outages, maintenance, DDoS attacks, provider issues, customer misconfiguration, software problems, or events outside Phantom Hosting’s control.
Customers may request a service credit if they believe a service issue qualifies.
Phantom Hosting will review the request based on the situation, service status records, support history, and any available uptime information.

17. Customer Mistakes
Refunds are not guaranteed for customer mistakes, including but not limited to:
Ordering the wrong service
Choosing the wrong billing cycle
Choosing the wrong location
Choosing the wrong operating system
Misspelling a domain name
Forgetting to cancel before renewal
Misconfiguring a server
Deleting files
Installing broken software
Breaking a game server, VPS, dedicated server, website, or bot through customer changes
Phantom Hosting may assist when possible, but customer mistakes do not automatically qualify for a refund.
18. Promotions, Discounts, and Coupons
Refunds for discounted services, promotional services, or coupon-based orders are based on the amount actually paid by the customer, not the regular service price.
Promotional offers may have special refund rules. If a promotion states that it is non-refundable, that promotion is non-refundable.
Abuse of promotions, coupons, or discounts may result in refund denial, service suspension, or account termination.
19. Fraudulent Orders
Orders flagged as fraudulent or high-risk may be canceled, rejected, refunded, or held for review.
Phantom Hosting uses fraud prevention tools, including MaxMind and Stripe fraud protection.
If an order is believed to be fraudulent, Phantom Hosting may deny service and may refuse future orders from the same customer or related accounts.
20. Refund Processing Time
Approved refunds are normally submitted as soon as reasonably possible after review.
After Phantom Hosting approves and submits a refund, the time it takes for the money to appear depends on the payment processor, bank, card issuer, or PayPal account.
Phantom Hosting does not control payment processor or bank processing times.
21. Right to Deny Refunds
Phantom Hosting reserves the right to deny any refund request that does not meet this policy.
Refunds may also be denied if the customer has abused services, violated policies, opened a chargeback, committed fraud, used excessive resources, or acted in bad faith.
22. Policy Updates
Phantom Hosting may update this Refund Policy at any time.
Continued use of Phantom Hosting services after changes are posted means the customer accepts the updated Refund Policy.
Customers are encouraged to review this policy before purchasing or renewing services.
